As a global leader in loading technologies, SVT GmbH develops and manufactures highly complex systems for the safe loading of liquids and gases, such as for LNG tankers, ships, tanks and port facilities. In international infrastructure projects, SVT is often only one part of a vast whole. The bidding phase is characterized by extremely extensive, multilingual tender documents (up to 1,000 pages), from which the relevant specifications for the company's own scope of supply must be filtered out.
So far, this meant that 5 to 8 highly qualified engineers worked for several weeks on reviewing, extracting and validating the requirements, a resource-intensive, error-prone and costly process.
On top of that came high regulatory requirements, specifications that change from country to country, and the need to incorporate company-specific and industry-specific knowledge. SVT was looking for an AI solution that not only increases efficiency but also improves the quality of bids, relieves skilled workers and preserves data sovereignty.

At the core is the automated analysis and processing of complex tender documents, often exceeding 1,000 pages, which are frequently available in several languages. The custom AI solution developed by neuland.ai is designed to automatically extract and prepare the relevant specifications from extensive documents. Over 400 specialized prompts ensure that the AI extracts all relevant specifications and requirements from the documents in only about 30 minutes, a process that previously required several weeks and the input of up to eight highly qualified engineers. These prompts were developed once for the requirements of SVT and are automatically applied to each new document. This means that engineers do not have to define new rules each time, but can rely on the consistently high quality and speed of the evaluation. The results are structured, linked to the original sources, and provided as Excel spreadsheets for further processing. Via interfaces, the data is transferred directly into the CRM, where it is used for calculations and bid proposals.
A central principle in this context is the “Human-in-the-Loop” approach: the AI prepares information, engineers and managers review the results, clarify uncertainties and can continuously improve the system through feedback. Linking the extracted information to the original locations in the document allows engineers to quickly review and, if necessary, correct the results, a crucial factor for the acceptance and accountability of AI results within the company.
